An online booking system lets customers pick a free slot themselves, from their phone, at any time, while you see every booking in one calendar. Before it, bookings are taken by phone, written in a notebook and confirmed by message. After it, the phone rings less, slots don't clash and customers who might not turn up get a reminder. For restaurants, clinics and salons, it is one of the most practical changes going digital brings.
What bookings by phone and notebook look like
In many businesses in Albania, the booking system is a notebook by the till and a phone that never stops. That works while there are few customers and one person who keeps it all in their head. But as soon as the business grows, or that person is away, the problems start: double bookings, empty slots nobody knows about, customers who forget their appointment and calls in the middle of work.

Take a restaurant on the Durrës promenade in August. The phone rings during service, a waiter writes a name in the notebook and hopes he got the number of guests right. Foreign tourists don't call at all, because they aren't sure they'll be understood in English.

At a dental or physiotherapy clinic in Tirana, reception spends most of the day scheduling, moving and confirming appointments. Patients from the diaspora, coming to Albania on holiday, want to book before they set off.

How online booking connects to Google
Most customers don't find you by typing your web address. They find you on Google Maps. Google lets many businesses, depending on their category, add a booking or appointment link to their Business Profile, or connect a booking provider. That way the customer books without leaving the map.

Customer and patient data
A booking system collects names, phone numbers and, in clinics, health information. Since February 2025, this data is protected by Law No. 124/2024 on personal data protection, which is aligned with the GDPR. As under the GDPR, health data needs particular care. The supervisory authority is the Commissioner for the Right to Information and Personal Data Protection.
In practice, this means: collect only what you need for the appointment, keep it in a secure system with limited access, and explain clearly on your site how you use it.
How to choose a booking system
- Start from how you work today. How many staff, how many services, how long they take and who manages bookings.
- Decide where customers will book. On your site, on Google, on Instagram, or all of them.
- Choose between an off-the-shelf tool and a system built for you. Off-the-shelf tools start quickly. A custom system fits your processes, connects to your site and can grow with the business. That's what we do in business apps and management systems.

- Test it with your staff before launch, so everyone knows how to see and change a booking.

- Will customers keep calling?
- Some will, especially older or regular customers. Online booking doesn't replace the phone, it takes the pressure off it. Staff can add phone bookings to the same calendar.
- What if a customer doesn't show up?
- Text or email reminders reduce the risk. For long or expensive services, you can ask for a deposit or set a clear cancellation rule.
- Can customers book directly from Google Maps?
- For many business categories, yes. You can add a booking link to your Google profile that takes customers to your system.
- Is it hard for staff?
- Not if the system is built around the way you work. The calendar opens on a phone or a computer, and a booking can be changed in a few taps.
